Refund & Cancellation Policy

This Refund and Cancellation Policy governs payments made for consultations, treatments, diagnostic services, and other services booked through the Mind Brain Institute website or payment links powered by Razorpay.
Mind Brain Institute is committed to providing transparent and fair policies regarding appointment cancellations and refunds.

1. Appointment Cancellation Policy

Patients may cancel or reschedule their appointment by providing at least 24 hours prior notice before the scheduled appointment time.
Cancellation requests can be made through one of the following methods:
* Email to the clinic’s official email address
* Phone call to the clinic reception
* WhatsApp message to the clinic’s official number
* Online cancellation through the booking system (if applicable)
If a cancellation request is received at least 24 hours before the appointment, the patient will be eligible for a full refund of the consultation or service fee paid online.

2. Late Cancellation Policy

If an appointment is cancelled less than 24 hours before the scheduled time, the payment will not be eligible for a refund.
However, at the discretion of Mind Brain Institute, the appointment may be rescheduled once based on availability.

3. No-Show Policy

If a patient fails to attend the scheduled appointment without prior cancellation, the payment will be treated as a No-Show, and no refund will be issued.

4. Refund Eligibility

A refund may be issued under the following circumstances:
* Appointment cancelled with minimum 24 hours notice
* Payment made by mistake or duplicate payment
* Appointment cancelled by Mind Brain Institute due to unforeseen circumstances
* Technical errors in payment processing
Mind Brain Institute reserves the right to determine eligibility for refunds based on the circumstances of each case.
5. Refund Processing Timeline
Once a refund request is approved:
* The refund will be initiated within 3–5 business days from the date of approval.
* The refunded amount will be credited to the original payment method used during the transaction.

Depending on the bank or payment provider, the amount may take 5–10 business days to reflect in the customer’s account.
Refund timelines may vary slightly depending on bank processing times, Razorpay settlement timelines, or payment method used (UPI, debit card, credit card, net banking, or wallet).

6. Services Not Eligible for Refund

The following services are non-refundable once delivered:
* Completed consultations
* Diagnostic services already performed
* Therapy sessions already attended
* Packages where sessions have already been utilized
For prepaid packages, refund eligibility will be determined based on sessions already used and administrative charges.

7. Refund Method

All refunds will be processed through the original payment method used at the time of booking.
Mind Brain Institute does not provide refunds in cash for online payments.

8. Processing Fees

In certain cases, payment gateway charges or administrative processing fees may be deducted from the refund amount where applicable.

9. How to Request a Refund

To request a refund, please provide the following details:
* Patient Name
* Appointment Date
* Transaction ID / Razorpay Payment ID
* Reason for cancellation
